The Not Interested Reason Report displays prospects who have been marked as Not Interested, together with the reason and notes recorded when that outcome was selected.
It can be used to review:
- who was marked as not interested
- when the outcome was recorded
- the prospect’s contact details
- where the outcome originated
- the reason selected
- any supporting description or notes
- which staff member completed the outcome
Navigate to:
Prospects > Reports > Not Interested
The page may display as:
Not Interested Reason Report
Select the Date Range
Use the date fields at the top of the report to select the period you want to review.
Enter:
- start date
- end date
Click:
View Report
The report will refresh and display Not Interested outcomes recorded within the selected period.
Report Information
The report may include:
- Date
- Person
- Contact No
- Source
- Reason
- Description
- Completed By
Date
Shows the date and time the Not Interested outcome was recorded.
Person
Displays the prospect’s name and identifying number.
Select the person’s name where available to open their prospect profile.
Contact Number
Displays the prospect’s recorded phone number.
Displays the prospect’s recorded email address.
These details may be useful when reviewing the prospect’s history or confirming the correct record.
Source
Shows where the Not Interested outcome was recorded from.
For example:
- Call
- appointment
- another prospect activity
In the screenshot, the outcomes were recorded from calls.
Reason
Shows the reason selected when the prospect was marked as Not Interested.
Examples may include:
- Casual Visit
- Location
- Medical
- Undecided
- another configured reason
The available reasons depend on the club’s lookup settings.
Description
Displays any additional notes entered when the outcome was completed.
The description should provide useful context that explains why the prospect was marked as Not Interested.
Completed By
Shows the staff member who recorded the outcome.
This helps managers review who completed the activity and whether the reason and notes were entered appropriately.
Using the Report
Staff can use this report to:
- review previous Not Interested outcomes
- confirm why a prospect was closed
- identify prospects who may still need clarification
- open the prospect profile
- check whether the selected reason matches the notes
Managers can use it to:
- identify common reasons prospects do not proceed
- review staff outcome recording
- identify trends such as location, medical concerns or indecision
- improve sales conversations, follow-up and membership offerings
- review whether prospects are being closed too early
Reviewing Not Interested Reasons
The report can help identify patterns.
For example:
- frequent Location outcomes may indicate a geographic or access issue
- frequent Medical outcomes may indicate a need for more suitable options or clearer guidance
- frequent Undecided outcomes may suggest that additional follow-up should have been scheduled
- frequent Casual Visit outcomes may indicate that casual visitors are not being converted effectively
The report should be used as a guide alongside prospect notes and activity history.
Maintaining Accurate Results
For reliable reporting, staff should:
- select the most appropriate reason
- enter a clear and factual description
- complete the outcome against the correct prospect
- avoid using a generic reason when a more accurate option exists
- update the prospect status only when no further follow-up is required
- schedule another call or appointment where the prospect is still undecided
Export Option
A download or export icon may be available in the top-right corner of the report.
Use this where a copy of the report is required.
The available format may depend on staff permissions and Clubfit configuration.
Important Notes
A prospect should generally only be marked Not Interested when no further active follow-up is required.
Where the prospect is still considering their options, a status or follow-up activity that keeps them in the sales process may be more appropriate.
The reasons available in this report depend on the club’s configured lookup values.
