The Prospect Count Report provides a detailed list and visual breakdown of prospects based on selected filters.
It can be used to review:
- the total number of prospects
- prospect status
- contact method
- marketing source
- page source
- membership enquiry type
- salesperson
- tags
- gender
- prospect creation date
Navigate to:
Prospects > Reports > Prospect Count
The page may display as:
Report: Prospect Count
Select the Report Criteria
Use the filters at the top of the report to narrow the results.
Available filters may include:
- Status
- Source
- Page Source
- Contact Method
- Membership Enquiry Type
- Sales Person
- Search By Date
- Date Range
- Tags
- Gender
After selecting the required criteria, click:
View Report
Status
Use the Status filter to display prospects at a particular stage.
Examples may include:
- All Prospects
- Enquiry
- Tour
- On Trial
- Sale
- No Sale
- Not Interested
- Temporary
- another configured prospect status
The available statuses depend on the club’s prospecting configuration.
Source
Use the Source filter to narrow the results according to the prospect’s marketing or enquiry source.
Examples may include:
- Internet
- Casual Visit Link
- enquiry link
- flyer campaign
- another configured source
Page Source
The Page Source filter can be used to identify the specific page, form or online link that created the prospect.
This may be particularly useful when the club uses multiple:
- website forms
- enquiry pages
- landing pages
- trial links
- casual-visit links
- online campaigns
Contact Method
Use the Contact Method filter to display prospects according to how they entered Clubfit.
Examples may include:
- Walk-in
- Lead
- Joined Online
- Online Signup Incomplete
- referral
- guest pass
- class pass
- another configured contact method
Membership Enquiry Type
Use this filter to display prospects interested in a particular membership, service or enquiry category.
The available options depend on the club’s configured Membership Enquiry Types.
Sales Person
Use the Sales Person filter to display:
- all prospects
- prospects assigned to a particular staff member or salesperson
This can help managers review individual prospect workloads and outcomes.
Search by Date
The Search By Date? option determines whether the date range is applied to the report.
When enabled, enter the required start and end dates.
The report will then display prospects created within the selected period.
Tags
Use the Tags filter to display prospects with one or more selected tags.
Tags may relate to:
- membership interests
- class types
- services
- campaigns
- internal follow-up categories
- other configured groupings
Gender
Use the Gender filter to narrow the results by the available gender options.
Leave it set to All when no gender filter is required.
Prospect Results
The results table may include:
- Prospect
- Gender
- Status
- Source
- Page Source
- Sales Person
- Contact Method
- Created Date
- Tag(s)
- Membership Enquiry Type
Prospect
Displays the prospect’s name and identifying number.
Contact details such as mobile number or email address may also appear beneath the name.
Select the prospect’s name where available to open the full prospect profile.
Gender
Shows the gender recorded against the prospect.
A blank field may indicate that no gender has been entered.
Status
Shows the prospect’s current stage in the prospecting process.
Source
Shows the marketing or enquiry source connected to the prospect.
A value such as Not Found may indicate that no valid source was recorded or that the original source is no longer available.
Page Source
Shows the specific page or online source associated with the prospect, where available.
Sales Person
Shows the salesperson or staff member assigned to the prospect.
Contact Method
Shows how the prospect entered Clubfit.
Created Date
Shows the date and time the prospect record was created.
Tags
Shows any tags applied to the prospect.
Membership Enquiry Type
Shows the membership or service category the prospect expressed interest in.
Prospect Breakdown Chart
The Prospect Breakdown chart displays the number and percentage of prospects in each status.
The chart may include categories such as:
- Enquiry
- Sale
- On Trial
- Tour
- No Sale
- Not Interested
- Temporary
The total number of matching prospects is displayed above the chart.
This gives managers a quick visual overview of how prospects are distributed across the sales process.
For example, a large percentage of prospects remaining at Enquiry may indicate that more follow-up, tours or status updates are required.
Export and Communication Options
Icons may be available in the top-right corner for actions such as:
- downloading or exporting the report
- emailing the report
- another print or device-related option
The available actions and file formats may depend on staff permissions and Clubfit configuration.
Using the Prospect Count Report
Staff can use the report to:
- find prospects matching specific criteria
- identify prospects assigned to them
- review enquiries from a particular campaign or page
- locate prospects interested in a particular membership type
- review tagged prospect groups
- open individual prospect profiles
Managers can use it to:
- review the total prospect database
- compare prospect statuses
- monitor enquiry volume
- analyse marketing and contact sources
- review staff assignments
- identify large groups of unresolved enquiries
- assess how prospects are progressing through the sales process
Maintaining Accurate Results
The Prospect Count Report relies on accurate prospect profile information.
For reliable reporting, staff should:
- update the prospect status when it changes
- select the correct contact method
- record the correct source and page source
- assign the correct salesperson
- enter the membership enquiry type
- apply relevant tags
- keep contact details current
- avoid duplicate prospect records
Important Notes
The report displays prospects matching all selected filters.
If the report returns fewer results than expected, check whether multiple filters have been applied at the same time.
A blank field or Not Found value generally indicates that the information was not recorded or is unavailable.
The prospect breakdown chart reflects only the prospects matching the current filters.
